Terms of Use
Effective date: October 28, 2026
Version: 2026-10-28
Beta edition.
1. Who we are
These Terms of Use are between you and Patrick Severs ("we"), who runs SROS.
We offer Softball Recruiting OS on the website at sros.team and in the application at app.sros.team. Together, those are the service.
The service helps a high-school softball athlete and the athlete's family organize college recruiting. Club and travel-team coaches, 18 or older, may also use the coach part of the service, as section 4 describes. It is meant for people in the United States. College coaches, recruiting businesses, and other companies are not the intended users.
These terms do not choose a state's law. Disputes are in section 16.
2. Agreeing to these terms
If you create an account, we ask you to check a box saying you agree to these terms and to the Privacy Policy. We store the version label you accepted.
A check in that box is your own agreement. It is not your parent's signature.
If you are a parent or guardian and you sign up, checking the box is your agreement for your own use of the service. If you join a household by invitation instead, the invitation page links to these terms, and using the service is your agreement for your own use. We do not record a version for a parent who joins by invitation.
If you do not agree, do not create an account.
3. Age
You must be at least 13 to create an account. The service is not for children under 13.
Sign-up asks for your birth month and birth year. If you are under 13, we refuse the account. We do not ask for the day. We do not check an ID. Enter your real birth month and birth year.
We use the birth month and year for that check. For a household, we delete them after approval follow-up. We then keep a restricted flag that says only whether you were under 18 at sign-up. The Privacy Policy describes that flag.
If we learn that a user is under 13, we delete the account as the Privacy Policy describes. We do not promise a number of days.
4. Athletes, parents, coaches, and approval
You register as an athlete, as a parent or guardian, or as a club coach.
An athlete must give a parent's or guardian's email address. It cannot be the athlete's own address. We do not verify that the address belongs to a parent. After we approve the household, we invite that address. We send one reminder if there is no acceptance. The invitation is a notice. It is not the parent's agreement to these terms.
After we approve the household, the athlete can use the service without waiting for the parent. That includes publishing a public profile, publishing photos or video, and connecting Gmail. The athlete is the person who publishes the profile. A parent or guardian who joins can see what the household does, as described below. A parent does not approve the athlete's actions.
We review every household that signs up. We may approve or decline any registration. We do not have to give a reason. If we decline, we delete the account and the information submitted with it.
A household has one athlete. A parent or guardian who has joined can see the household's workspace: the saved profile, measurements, schedule, saved schools with their outreach notes and follow-up dates, coach-outreach drafts and templates, the Gmail connection, and the text of messages sent through the service. The parent cannot see the athlete's uncommitted recruiting draft.
Club coaches. You may register as a coach if you are 18 or older and coach a club or travel team. Coach sign-up asks for your birth month and birth year and refuses anyone under 18. We keep a coach's birth month and year while the account is open. A coach account is separate from every household: a coach cannot see any household's information. We review every coach who signs up, and we may approve or decline as we do for a household. You are responsible for your coach card and for the messages you send, including that what your card says is true. A published card lives at an unlisted address and is treated like the public profile in section 10. Section 11 applies to a coach's connected Gmail, except that only you see your send record. You can ask us to delete a coach account as section 14 describes. That deletion covers the coach account and everything it holds.
You may not create an account for someone else, share an account, or transfer it. You are responsible for your password and for activity under your account. Write to privacy@sros.team if you think someone else is using it.
5. What the service does
The service helps you keep an athletic profile, look at colleges that match preferences you enter, track camps and a schedule, read program and coach information from public college websites, and write your own outreach.
You may upload short videos. We do not remove location data from video. The Privacy Policy says how to keep it out.
The writing assistant is off. We do not use it to draft or edit your messages. If we turn it on later, we will change the Privacy Policy first.
The service is a free beta. We do not charge for it. You can stop using it at any time.
We may change, suspend, or remove parts of the service. It is under active development. Features can be wrong, incomplete, or unavailable.
6. No promise about recruiting
Colleges and their coaches decide admissions, roster spots, scholarships, and financial aid. We have no role in those decisions.
We do not guarantee any coach contact, camp invitation, offer, scholarship, financial aid, admission, or other recruiting result.
Matches, fit indicators, and program information are informational. They can be incomplete or out of date. They are not a recommendation or a prediction.
Coach names and contact details come from public college athletics websites. Staffs change. A contact may be wrong. Check it yourself before you rely on it. Use coach contact details only for your own good-faith recruiting messages.
7. Eligibility rules are yours to follow
The NCAA, NAIA, NJCAA, conferences, and high school associations have rules about recruiting contact and eligibility. You and your family are responsible for following those rules, including when you send a message to a coach. We do not give compliance advice. Nothing in the service means a message is allowed.
8. Your content
You keep ownership of the text, statistics, photos, videos, links, and messages you submit.
You give us permission to host, store, copy, process, and display that material only to run the service for your household or your coach account. For a photograph, that processing includes removing GPS and device location before we keep the original. If you publish something on your public profile or your coach card, you also give us permission to show it to people who open that profile or card.
This permission ends when the material is deleted from the service, except for copies that remain in backups until the provider overwrites them, and except where the law requires us to keep something. We do not control how long a provider keeps a backup. We do not state a number of days.
We will not use your name, image, or likeness in our advertising without a separate yes from you. If you are under 18, we also need a separate yes from a parent or guardian.
You are responsible for what you submit and for what you send. Statistics and measurements you enter should be accurate. We may remove material. We do not have to review it first.
Photos and video
You may upload photographs and choose which of them appear on the public profile. The product shows the limits.
A photo you upload goes first to private storage that is not public. We remove GPS and device location before we keep the original, usually within seconds. If an upload stops before that step, the unprocessed file can stay in private storage with its location data.
You may upload short videos and choose which of them appear on the public profile. Videos are stored with Cloudflare Stream. We do not remove GPS or device location from video, so a video can carry the location your phone recorded. A removal request includes the video stored at Cloudflare.
By uploading a file, you represent that you have the rights you need to upload it and display it, and that the file does not break section 9.
Game and practice footage often shows other people. We do not ask you to promise that every person in the frame, or every parent of a minor in the frame, has consented.
If a person who appears in a photo or video wants it off the service, they can email privacy@sros.team. We will remove the file we can identify. We do this by hand. Removal includes the stored original and the Cloudflare video. Turning the public profile off does not, by itself, finish that request. We cannot pull back copies other people have already saved.
9. Acceptable use
You agree not to:
- give false information about your statistics, measurements, age, or identity, or impersonate anyone
- upload anything unlawful, defamatory, harassing, threatening, sexually explicit, or hateful, or anything that infringes someone's intellectual property, privacy, or publicity rights
- upload anything that sexualizes or endangers a minor
- harass anyone, or send unsolicited bulk messages to coaches or anyone else
- use coach contact information from the service for anything other than your own good-faith recruiting
- scrape the service, or use it to train an artificial-intelligence model
- try to reach another household's information, break a security control, or disrupt the service
- sell or commercially exploit the service or its data
- use the service in violation of law or of a governing-body rule
10. Public profile and contact form
Profile information and photos start private. Nothing is public until the athlete publishes the profile. A published profile shows the fields and photos the athlete chose to share, plus the high school name and the saved schedule: each event's name, type, team, city and state, and dates.
The public profile lives at an unlisted web address. We tell search engines not to index it. We do not put it in a directory. Anyone who has the address can view what you shared. They can forward the address. An unlisted address is not a secret. Do not put anything there that you would not want a stranger to see.
The athlete can change what is shared, or turn the profile off, at any time. Turning it off takes the public page down and removes its public photos. We keep a private copy of what was published so the athlete can turn it back on. It does not delete anything from the account. It does not answer a removal request under section 8. We cannot recall copies other people have downloaded.
Visitors can send a message through the contact form. We email that message to the household. If you reply, the sender sees the email address you reply from. We do not screen senders. We are not responsible for what they write.
11. Gmail and other services
The service links to college sites, camp pages, social media, and Google. Those services have their own terms. We do not control them.
You may connect a Google account so you can send mail from the service.
During the beta, only a Gmail address we have added to Google's test list can connect. Google shows a warning that it has not verified the app. Google ends the connection seven days after you approve it, so you will need to reconnect about once a week.
We ask Google for gmail.send, openid, and userinfo.email, with offline access so the connection can continue. Those permissions let us send mail and identify the account. We do not ask to read your inbox. We send only the message you write and choose to send.
We keep a record of each message sent, including the full text, so your household can see what went out. We keep that record until the deletion path in the Privacy Policy removes it. We do not state a number of days.
We use that Google data only to send the message you chose to send, to show your household the send record, and to keep the connection working. We do not use it for advertising. We do not sell it. Google's Limited Use rules apply to this data.
The athlete can disconnect in the service. You can also revoke access in your Google account. Google's terms still apply to your use of Gmail.
12. Our intellectual property
The software, design, and our own text and graphics belong to us or our licensors. Your content and third-party material stay with their owners. We give you a personal, non-commercial, revocable license to use the service for your own recruiting. If you send us a suggestion, we may use it without owing you anything.
13. Copyright notices
If you believe something on the service infringes a copyright you own, email privacy@sros.team with all of the following:
- your physical or electronic signature
- the copyrighted work
- the material you believe is infringing, and where it is on the service
- your contact information
- a statement that you have a good-faith belief the use is not authorized
- a statement, under penalty of perjury, that the notice is accurate and that you are the owner or authorized to act for the owner
We have not registered a designated agent with the U.S. Copyright Office. Send copyright notices to privacy@sros.team.
This section is the notice procedure. It does not say that the DMCA safe harbor applies.
If we remove your material and you believe that was a mistake, you may send a counter-notice with the elements required by 17 U.S.C. § 512(g)(3). We close accounts of repeat infringers when the circumstances call for it.
14. Stopping or losing access
You may stop using the service at any time. You may ask us to delete your account by emailing privacy@sros.team from the account email. Deletion covers the whole household: every member's login and everything the household holds. For a coach, deletion covers the coach's login and everything the coach account holds.
If you ask us to delete the account, or if we learn that a user is under 13, we remove the login, the profile, album originals, display media, Cloudflare video, Gmail tokens, send logs, contact-form messages, and unconfirmed sign-ups. The Privacy Policy is the longer description of that path, including the records we keep. We do not promise a number of days.
We may suspend access, remove content, or decline service if we believe you have broken these terms, if the law requires it, or to protect the service, other users, or another person.
When access ends, sections 6, 7, 8, 9, 12, 13, 15, 16, and 18 still apply.
15. Disclaimers and limits
The service is provided as is and as available. To the extent the law allows, we disclaim implied warranties of merchantability, fitness for a particular purpose, title, and non-infringement. We do not warrant that the service will be uninterrupted, secure, or error-free, or that college, camp, or coach information is accurate or current. Some states do not allow certain disclaimers. Those states' rules still apply to you.
To the extent the law allows, we are not liable for indirect, incidental, special, consequential, or punitive damages, or for a lost recruiting opportunity, scholarship, admission, or goodwill. Nothing in these terms limits liability for fraud or willful misconduct, or any liability the law does not allow us to limit.
We do not ask a minor to pay our lawyers. You are responsible for the content you submit and the messages you send, as section 8 says. A parent or guardian is responsible for content that parent submits. A parent is not, under these terms, responsible for a message the athlete sent before the parent joined.
16. Disputes
These terms do not require arbitration. They do not waive class actions. They do not choose a state's law. They do not choose a court.
If you have a dispute with us, email privacy@sros.team and describe it. Either of us may bring an individual claim in small-claims court. A court with jurisdiction where you live can hear an individual claim. Consumer-protection laws of the state where you live still apply.
17. Changes
We may update these terms. If we make a material change, we will email you or show a notice in the service before the new date, and we will change the date at the top.
We record the version you accept at sign-up. We do not ask you to click again when the terms change. If a change would newly use a minor's information, or would turn on a feature this version says is off, we will describe it in the Privacy Policy first. We will not treat silence as a yes.
18. Other terms
These terms and the Privacy Policy are the whole agreement about the service. If a court will not enforce one sentence, the rest still applies, to the extent the law allows. Not enforcing a right once is not a waiver. You may not assign these terms. We may assign them if the service is transferred, and we will tell you. There are no third-party beneficiaries. We may notice you at your account email or in the service.
